Short-term planning means long-term coordination

Given today’s tight budgets and scarce financial resources, it’s essential to make sure that your workforce profile exactly matches your long-term needs. After all, if you have too much or too little capacity, even the best planning becomes little more than an exercise in damage limitation and planners are forced to spend much of their time in fire-fighting mode. To overcome this problem, Capacitor’s features help you to determine your medium to long-term requirements for various scenarios. These needs can then be matched to your workforce profile. Capacitor helps planners to ensure that resources and working time accounts are used as effectively as possible.

Easy evaluation of staffing scenarios

With Capacitor, you can organise planning units into capacity groups. In each of these groups, you can select the type of capacity calculation and overall parameters, such as the desired workload for individual employees and the degree of part-time working. As a result, you can compare the results of various scenarios and choose the approach that best suits medium and long term business objectives and enables short-term planning to be performed on a sound basis.

Clear presentation of annual requirements and distribution

With Capacitor, annual requirements are planned on the basis of a defined annual volume and periods within the year. You can adjust the distribution of the annual volume among the different planning units. The subdivision of the annual volume into weeks is defined in either absolute or relative terms. Based on the weekly volume, the number of employee hours and full-time staff required is shown automatically. This enables you to see at a glance exactly how many employees you’ll need for each week of the year.

Automatic calculation of annual and weekly capacity

Capacitor uses information on your workforce to automatically calculate the capacity available for each planning unit and each week covered by the planning schedule. It takes a wide variety of factors into account, from part-time workers and limited contracts to changes in planning units, planning embargos, planned absences and other staff availability constraints.

In addition to planned absences, the capacity calculation also takes projected sick leave rates and other absence rates (shrinkage) into account.

Capacity deficiencies clearly show when comparing weekly requirements and weekly staff availability, so that you can immediately see whether your capacity meets your predicted requirements in each scenario, or whether too many or too few employees are available.

Support with adapting the workforce structure

Capacitor can be a great help in situations where your capacity does not cover your requirements. With Capacitor, you can quickly see the impact of changes to contracts, monitor the approval of absence or holiday requests or plan for new contracts.

In addition, you can enter holiday quotas to limit the number of employees on holiday during particularly busy periods. This feature can be used for the subsequent automatic approval of holiday requests.

Of course, Capacitor also ensures that all relevant scheduling rules are adhered to in each scenario.

Capacitor also helps when it comes to ensuring that you have the right mix of contract types for particularly busy periods. After all, there’s nothing worse than having enough full-time staff to cover your basic weekly needs, but not enough part-time workers to handle demand for peak hours or peak days. Thanks to Capacitor, you can determine precisely how many part-time staff you need at any time and thus minimise the amount of fire-fighting that needs to be done later on in the planning process.

Annualised hours: Integrated planning of individual working times throughout the year

If your employees have annualised hours, Capacitor can automatically calculate proposed working time accounts for each week. These calculations are based on weekly requirements and the amount of hours carried forward. This ensures that employees actually work for the contractually agreed number of hours each year.

In other words, you won’t be faced with a shortage of skilled staff at the end of the year because key employees have already reached the maximum permitted number of hours.
