Increased performance using accurate working time recording

The TimeKeeper module from InVision makes time recording straightforward, detailed and accurate at the same time. As TimeKeeper can be flexibly adapted to changing requirements, future challenges are also easily met.
Activity-related working time recording
Regardless of whether working times are recorded by the employees themselves or by creating accounting records for time data collection per exception over a system – with TimeKeeper, the accordant time account transactions are recorded for each project and each activity to the split second. This way, a later evaluation for the individual cost centers is just as feasible as the consolidation of actual statistic data for a corporate group.
Simple connection of recording devices
With an open interface concept, TimeKeeper offers various time recording methods. Whether it is classic hardware terminals with induction, magnetic strip, chip card or infrared readers; biometric identification, software/internet terminals or systems such as computerised cash registers or telephone switchboards, which were not originally designed for time management – all relevant information can be read in automatically and made available, system-wide, in real-time.
Flexible booking rules
For efficient time management, it is important that the processing of time account transactions is individually defined and that any number of rules can be set up, e.g. to define whether a single “comes in” account transaction is sufficient for calculating working time, if breaks have to be booked, which roundings can be made and in which margin time account transactions are still allowed. This way, the exact rules relevant for each business unit due to legal, contractual or company internal specifications can be displayed. If the general conditions are changed, an adaption should be possible at any time – even without any programming knowledge of the respective user.
Automated processing of account transactions
TimeKeeper reduces the manual handling effort of account transactions through automated processing. For instance, this could be the creation or deletion of surplus account transactions, the rounding of “comes in/leaves” times to a full quarter of an hour, and also the correction of variations between planned and actual time or breaches of account transaction rules.
Integrated approval process
All recorded working time should be checked and approved within an integrated approval process by senior staff or other authorised persons. An absolute auditing acceptability is guaranteed when variations of planned and actual data, as well as rule breaches, are visualised and possible changes are documented.
Seamless integration in staff planning
TimeKeeper is an integral component of the InVision Enterprise WFM (iWFM) and thus can be integrated seamlessly with existing processes. If all corresponding modules work with a common data base, more time-consuming and error-prone multi data management can be eliminated.
Moreover, staff planning can be considered within booking rules. For instance, a “comes in” booking can only be accepted within a certain threshold before the scheduled working start time, or the planning can always be based on current time accounts.
Up-to-date information by complete real-time processing
As with all components of iWFM, the data in TimeKeeper is processed in real-time. Therefore all users, for example, can directly monitor whether there are variations between planned and actual data, how time management accounts are developing or how many employees undertake a certain activity at a certain location. Additionally, all controlling modules have access to all TimeKeeper data. This way, all information can be cross-evaluated with other internal or external data.
Multi-national capability
TimeKeeper from InVision has been designed for multi-national capability and has proven its practicality on an international basis. As a result, multi-national companies can meet their global workforce management requirements while also considering local specifications. The advantages compared to heterogeneous systems are reduced licence and administration costs, easier consolidation of information as well as increased transparency.
