Integration of time management into the workforce management process
Recording and accounting of working times is closely connected with employee scheduling. The more flexible the scheduling design, the more complex the requirements for accurate time accounting. Therefore, it is reasonable that time management is undertaken in close cooperation with other workforce management components.
Continuous optimization with time management
The time management functionality which is fully integrated in the InVision Enterprise WFM (iWFM) offers very flexible options for processing employees’ recorded working times. According to individually definable guidelines or rules, time recording data is automatically booked to fully adjustable time accounts such as overtime, extra shifts, flexible work time, normal work time or holiday. Concurrently, this forms the basis for a continuous optimization of the planned data using actual data recorded in real-time.
Thus, the TimeKeeper and TimeManager modules are the crucial connection between time recording, evaluation, accounting and the different planning phases.
Precise Time Recording
The time recorded during the working day can be automatically divided into activities or absences and booked on the right accounts, according to rules set up by the planner. This way, for example, breaks can be automatically identified, variations from planned shifts processed within defined limits and booked to time accounts. It is possible to book extra work to a corresponding account on a flexible basis for consideration when scheduling the next month.
Additionally individual and company-specific rules, such as “comes earlier/later” or “leaves earlier/later”, roundings and tolerances can be displayed by the extremely capable time management system of InVision.
Planned and actual data at a glance
Calculated time accounts and annual working accounts can be used directly for staff scheduling in the InVision Shift Center.
For each planner, Shift Center is the central working platform when scheduling your workforce with InVision Enterprise WFM (iWFM). In Shift Center the produced schedules can be viewed and adapted manually. Schedules and activities for each employee, as well as recorded working times and activities, are displayed in a clear layout.
With precise real-time recording, you can quickly view whether the schedule is adhered to by the employees or if there are variations due to the actual workload. This data is an important basis for continuously optimized staff scheduling.
Control and approval of employees’ working times for wage accounting are also integrated in the iWFM time management solution. The manager or team leader only checks exceptions and variations which cannot be processed automatically by the set of rules, or which require a special approval. The system automatically sets up an overview of the identified variations. This way, the manager or team leader can immediately view where an action is required.
System-wide data exchange
The iWFM time management solution can be integrated seamlessly into existing systems due to its open interfaces. This is particularly useful when obtaining booked working time from time recording systems and transferring the final calculated time accounts to wage accounting systems.
Time recording terminals with chip / magnetic card or biometric identification systems are supported, as well as software-based time recording systems, such as the Infothek Time Recording module of iWFM.
Working times transferred by these interfaces are available in real-time and always provide an up-to-date time account status.
