Employees — your most important resource — deserve work schedule planning that suits their preferences
Independent studies show that employees’ ability to plan their own work times is one of the key factors when it comes to work satisfaction and staff loyalty. Studies have also shown that satisfied employees work better – ‘happy employees mean happy customers’. At the same time, companies must also ensure that business needs are optimally met at all times. Infothek Interactive Schedule fulfills both requirements — individual work scheduling and optimal workforce deployment — using a fair and transparent employee self-service process that reduces administration to a minimum.
Maximum influence for your employees
With Infothek Interactive Schedule, your employees enter their preferred work times directly into the system. As they do so, InVision Enterprise WFM continuously monitors all of the rules you have previously entered. That makes it impossible for employees to enter requests for shifts that might, for example, violate the terms of their contracts or that they do not have the skills for.
Automatic comparison with your staffing requirements
As employees enter their choices, Infothek Interactive Schedule uses a unique process introduced by InVision to ensure your business requirements are optimally met. And if too many employees apply for the same shift, Infothek Interactive Schedule makes sure the work is distributed fairly and equally. You also have the option of using InVision script technology to define how this distribution should take place. For example, you can decide whether factors such as an employee’s seniority or skills should be used as criteria.
The resulting schedule is precisely tailored to your requirements and takes your employees’ preferences into account to the greatest possible extent. Our customers report that the system fulfills up to 90% of their employees’ wishes — while optimally covering the company’s staffing requirements.
Clear overviews of work schedules are always available online
Because your employees can access their schedules themselves, you can eliminate unnecessary, time consuming and error-prone paper-based processes. The schedules are continuously updated and are available in as much detail as you wish.
Thanks to the Web-based user interface of InVision Enterprise WFM, your employees can access Infothek Interactive Schedule via your company’s intranet or extranet. All they need is an Internet browser. And if you want, access can be limited to individual workstations, such as those in the company cafeteria. Furthermore, by deploying the InVision https extension, employees may even be allowed to use the Infothek from a home PC with no requirement for installing software locally.
Integrated vacation and absence planning
Infothek Interactive Schedule uses an integrated process to simplify vacation and absence planning. After your employees have entered their desired vacation times within the defined period, the system helps you decide if and when a vacation request can be granted. Here, an overview of the vacation accounts and your staffing requirements will make your decisions become faster, more precise and more transparent. In addition, your employees will be notified of your decision immediately.
Shift swaps made easy
If an employee has received a job or a shift that doesn’t match his or her preferences on a specific day, Infothek Interactive Schedule provides an exchange option in which the employee can swap the unwanted job or shift with a colleague. You decide whether proposed exchanges should be accepted automatically or only after they have been authorized by the planner. Of course all the regulations are checked each time in order to make sure that only employees with comparable skills can swap jobs or shifts.
The original — from the inventor of the Infothek principle
InVision is not only the creator of the employee-centered Infothek planning process, but also the first supplier to introduce this principle worldwide. InVision’s Infothek is the proven way to give something back to employees in return for increased flexibility and to promote good work/life balance. We have in-depth experience of implementing this innovative planning process. This experience will not only ensure that your company reaps the full benefits of employee-centered planning; it will also enable you to relax in the knowledge that you are not putting employee morale at risk by introducing an untried solution.
